PROCESS WALKTHROUGH
If you have never run a keychain customisation project in Singapore before, the timeline and the back-and-forth can feel opaque. This guide walks you through every stage from “I have an idea” to “the box of custom keychains is in my office”, using the same six-stage workflow we use internally on every order. Read this first and you will avoid the four most common delays that push delivery dates back.
The 6 stages of keychain customisation in Singapore
Every customised keychain Singapore order, regardless of material or quantity, moves through the same six gates. Each gate has a clear deliverable and a clear approval handshake, which is what keeps the project on schedule.
1 — Material & shape selection
You decide what material your keychain will be made of and what shape you want.
2 — Artwork preparation
You provide your logo or design files in the right format and size.
3 — Quotation & MOQ confirmation
We confirm unit cost, total project cost, and lead time.
4 — Digital proof & sign-off
We send a mock-up. You approve in writing.
5 — Pre-production sample (optional)
For VIP or large orders, we produce one physical sample for you to hold.
6 — Bulk production & delivery
Factory produces, QC inspects, courier delivers to your office.
Stage 1 — Material & shape selection
This is the single highest-leverage decision in the project. Material drives cost, lead time, MOQ, and the visual personality of the gift. The six options used in Singapore are acrylic, metal, leather, PVC/rubber, epoxy/dome, and silicone.
If you are not sure, three rules of thumb cover 90% of cases. For low-cost vibrant photographic prints below 1,000 pieces, choose custom acrylic keychain Singapore. For VIP gifting that needs to feel premium, choose customized leather keychain. For 5,000+ pieces at the lowest possible cost, choose silicone or PVC.
Shape comes next. Acrylic and PVC can be cut to literally any silhouette. Metal allows custom shapes too but the tooling cost is higher. Leather is usually rectangular, oval, or shield-shaped because it has to be stitched and edge-painted.
Stage 2 — Artwork preparation
This is where most projects lose 3 to 5 working days. The factory needs vector files (AI, EPS, or PDF) with a separate cut line, the right colour mode, and adequate bleed. If you only have a JPG or a screenshot, the file has to be redrawn before it can move to production.
PRO TIP
Ask your designer or marketing agency for the original brand asset pack. It will almost always contain an Adobe Illustrator file. If you only have your logo as a PNG, send it anyway — we will redraw it as part of the project for a small one-time fee, but it costs you a few days of timeline.
Artwork checklist
- Vector format (AI, EPS, PDF) — preferred
- CMYK colour mode with Pantone codes if exact matching is needed
- Cut line marked as a separate spot colour (e.g. “CutContour”)
- 2 mm bleed beyond the cut line
- All fonts converted to outlines
- Drill hole position indicated in the file
- No element thinner than 2 mm at the final print size
Stage 3 — Quotation & MOQ confirmation
Once material and artwork are clear, we issue a formal quotation. It states the unit price, total project cost, MOQ, lead time from artwork approval, accessories included (split ring, ball chain, carabiner, lanyard), packaging method, and shipping/delivery terms.
The MOQ varies by material. Acrylic typically starts at 500 pieces, leather at 100, PVC at 500, metal at 300, silicone at 1,000. If your quantity is below the MOQ, we will tell you the next viable production tier and the cost difference.
A 50% deposit is collected at the moment of confirmation. The remaining 50% is collected before shipping. This is industry standard in Singapore for keychain customisation projects.
Stage 4 — Digital proof & sign-off
Within 2 to 3 working days of deposit, we send a digital mock-up. It shows your artwork laid out at actual size, both sides if double-sided, with the chosen accessory rendered. Your job at this stage is to check four things:
- Spelling and content. Yes, it sounds obvious. Yes, this is the most-found error in proofs.
- Logo placement and size. Print at 100% scale on paper and physically hold it next to a real keychain to feel the size.
- Colours. Especially Pantone matches against your brand guideline.
- Hole position. Make sure the drill hole does not crash through any part of the artwork or text.
Sign-off is via email reply: a single sentence “Approved to proceed” is enough. Once we receive that, the clock on the production lead time begins.
Stage 5 — Pre-production sample (optional but recommended above $3,000)
For high-stakes projects we strongly recommend ordering one physical sample before bulk production. The sample costs around $30 to $80 depending on material, and adds 5 to 7 working days to the timeline, but it gives you the chance to:
- Hold it in your hand and confirm the weight and tactile feel match the brand
- Photograph it for internal stakeholder approval
- Confirm Pantone colour fidelity in real life rather than on a backlit screen
- Stress-test the accessory hardware
- Avoid the catastrophic outcome of a 5,000-piece run that the CMO doesn’t love
Stage 6 — Bulk production, QC, and delivery
Bulk production runs for 25 to 30 working days for most materials. During this window the factory produces, the QC team performs a 100% visual inspection, defects are pulled and replaced, the order is packed in bulk poly bags or individual gift boxes (your call), and the shipment is dispatched to Singapore.
Once it lands, our local team does a second QC sample check before delivering to your specified Singapore address. Door-to-door delivery within Singapore is usually free above 500 pieces.
Realistic timeline — when to start your project
| Stage | Working days | Cumulative |
|---|---|---|
| Material & shape selection | 1 – 2 | 2 |
| Artwork preparation | 2 – 5 | 7 |
| Quotation & deposit | 1 – 2 | 9 |
| Digital proof & sign-off | 2 – 3 | 12 |
| Pre-production sample (optional) | 5 – 7 | 19 |
| Bulk production | 25 – 30 | 49 |
| QC + shipping + last-mile delivery | 3 – 5 | 54 |
Translation: if you need 1,000 acrylic keychains in hand for a launch on 1 December, you should kick off the project no later than 15 September. For leather, allow an extra week. For metal with custom tooling, allow an extra two weeks.
The four delays that catch first-time buyers
- JPG-only artwork. Every JPG-only project loses about 4 days to redrawing.
- Slow internal approvals. Marketing approves the proof on day 2, legal asks for changes on day 6, the CMO asks for a different colour on day 9. Build buffer for this.
- Late accessory decisions. Choosing between split ring, ball chain, and carabiner mid-production triggers a re-quote.
- Holiday windows. Chinese New Year and the December holiday window in Singapore both freeze factory output for around 3 weeks. Plan around them, not into them.
Frequently asked questions
What if I don’t have a logo file in vector format?
Send what you have. We will redraw your logo into clean vector format for a small one-time fee, typically $30 to $50, before production starts. This adds 1 to 2 working days.
Do you charge for design mock-ups?
No. The first round of digital proof is free. Additional rounds beyond three revisions may incur a small design fee, depending on scope of changes.
Can I cancel or change my order after sign-off?
Once production has begun the order is locked and the deposit is non-refundable. Before production, changes are accepted with a small re-tooling fee if applicable.
What payment methods do you accept?
Bank transfer (preferred), PayNow, and corporate cheques. For smaller orders we also accept PayPal and credit card with a small surcharge.
Do you offer warranty or replacement for defects?
Yes. Any factory defect is replaced free of charge. Standard QC catches more than 99% of defects before shipping; the rare defect that escapes is replaced from our local stock buffer.
